What we collect

When you use a "Get notified" form, we store:

• your email address;
• which guide you signed up from (for example Texas or England), so we email you about the right one;
• the page you were on and the time you signed up;
• the country your connection came from, worked out by our hosting provider. We do not store your IP address.

When you email yourself a checklist (for example the Texas license checklist), we store your email address, your answers to the checklist questions, when we sent it and the country your connection came from. We use them only to send the checklist you asked for. We do not add you to any mailing list unless you tick the box for rule-change alerts, in which case you join the waitlist for that state or nation. To stop abuse of the form we also keep a short-lived count of requests from each connection, which is not linked to your email.

Who is responsible for your data

CareRulebook is a trading name of Inkfluence AI Ltd, a company registered in England and Wales (company number 17340726). Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. We decide how your data is used, and you can contact us about it at hello@carerulebook.com.

When you buy a manual

To build and deliver your manual we store:

• the answers you give in the manual builder (your agency's name, address, phone numbers, staff names and dates, and your choices), because every download is built from them;
• your email address, name and country, which Stripe passes to us after you pay;
• the amount, the date, when you downloaded the manual, and your agreement to the refund terms.

Stripe processes your payment. We never see or store your card details. We keep order records for six years, because tax law requires it. Before you pay, your answers are stored only in your own browser.

Cookies and analytics

If you click Accept on our cookie banner, we use Google Analytics to count visits and see which guides people find useful. It sets cookies (named _ga and _ga_<id>) that last up to two years, and Google processes your IP address to do this. If you click Decline, or make no choice, Google Analytics does not load at all. We do not use advertising trackers, and we do not share analytics data with Google for advertising.

Separately, our host Vercel counts page views for us with Vercel Web Analytics. It sets no cookies and stores nothing on your device. It works out a visit from a hash of the request that is discarded within 24 hours, so it cannot identify you or follow you across sites. We see only totals: pages viewed, referring sites, countries, browsers and devices.

You can change your choice at any time with the cookie settings link in the footer. We store your choice in your browser, not in a cookie.

Why we use it

Orders: to build your manual, let you download it, email you your private download link, answer your questions and keep the records the law requires. Checklists: to send the checklist you asked for. Waitlist: to email you when the manual or pack for your state or nation is ready, and, if you asked for them, when a rule that affects your agency changes. We rely on your consent to do this. We do not sell or share your email with anyone else for their own use.

Where it is stored

Signups and orders are stored in Google Cloud Firestore in London (europe-west2), run by Google as our processor. Payments are handled by Stripe. Emails we send you (order links and checklists) go through Zoho Mail, with data held in its EU data centre. The website is hosted by Vercel. Analytics, if you accept it, is run by Google. All of them work under data processing terms that protect personal data sent outside the UK.

How long we keep it

Waitlist emails: until you unsubscribe or ask us to delete them. Every waitlist email will have an unsubscribe link. Checklist requests: two years after the last checklist we sent you, or sooner if you ask. Orders: six years, as above.

Your rights

You can ask to see the data we hold about you, correct it, or have it deleted, at any time. Email hello@carerulebook.com and we will reply within one month.

If you are in the UK and unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
